Privacy Policy

Our company (including the Niigata Toei Hotel, Yuzawa Toei Hotel, and Fukuoka Toei Hotel, which we operate) recognizes the importance of lawfully and appropriately managing and protecting personal information throughout all of our business activities. We will comply with the Act on the Protection of Personal Information and other related laws and regulations, and strive to implement and continuously improve the following initiatives.

In accordance with laws and regulations related to the protection of personal information, we define personal information as the names, addresses, dates of birth, telephone numbers, email addresses, and other information that can identify our customers, and we will manage and use this information lawfully and appropriately.

9. Complaints and inquiries regarding the protection of personal information

10. Remarks

The above information applies to your personal information at our company (Toei Hotel Chain Co., Ltd.) and does not apply to your personal information at other companies (including websites linked from our homepage). Furthermore, the above information may be changed in the future in light of the actual state of our business activities, changes in the surrounding social and economic environment, revisions to laws and regulations, and other circumstances.

Article 1 (Application of these Terms and Conditions)

The terms and conditions of accommodation and related agreements concluded by this hotel shall be governed by these Terms and Conditions. Matters not stipulated in these Terms and Conditions shall be governed by laws and regulations or customs.

Notwithstanding the provisions of the preceding paragraph, this hotel may agree to special terms and conditions, to the extent that they do not contradict the spirit of these terms and conditions, laws and regulations, or customs.

Article 2 Refusal of Accommodation

This hotel reserves the right to refuse accommodation in the following cases:

  • - In the event that a reservation is made in a manner that does not conform to these terms and conditions.
  • - When there are no rooms available due to full occupancy.
  • - When it is deemed that a person seeking accommodation may engage in conduct that violates laws, public order, or good morals in connection with their stay.
  • - When a person seeking accommodation is clearly diagnosed with an infectious disease.
  • - When special accommodation costs are required.
  • - In the event that accommodation cannot be provided due to natural disasters or other unavoidable circumstances related to the hotel's facilities.
  • - When a person seeking accommodation is intoxicated, or is likely to cause trouble to other guests, or has engaged in behavior that is significantly disruptive.

Article 3 Disclosure of Name and Other Information

When our hotel accepts a reservation for accommodation (hereinafter referred to as "accommodation reservation application") prior to the date of stay, we may request the applicant to disclose the following information within a specified period.

  • • Name, gender, nationality, and occupation of the guest.
  • - Any other matters deemed necessary by the hotel.

Article 4 Reservation Deposit

When our hotel accepts a reservation request, we may require a deposit within a specified period, up to the amount of the accommodation fee for the designated stay.

If the application fee falls under the cancellation fee provisions of the following article, it will be applied to the cancellation fee, and any remaining balance will be refunded.

Article 5 Cancellation of Reservation

If you cancel all or part of your accommodation reservation, the hotel will charge a cancellation fee according to its cancellation policy. However, in the case of group reservations (15 people or more) where only part of the reservation is canceled, a 10% discount will be applied depending on the number of cancellations made up to 10 days prior to the accommodation date (or the date the hotel accepted the reservation from that date onward).

If a guest does not arrive by 8:00 PM on the day of their stay (or two hours after the designated arrival time), the hotel may consider the reservation to have been canceled by the guest.

If you are unable to arrive due to reasons beyond your control, such as delays or cancellations of public transportation, and you can provide proof, no cancellation fee will be charged.

Article 6 Hotel Cancellation

The hotel may cancel your reservation in the following cases:

  • (1)

    If any of the conditions in Article 2, paragraphs 3 through 7 are met.

  • (2)

    If the applicant fails to provide the requested information by the deadline specified in Article 3, Paragraph 1.

  • (3)

    Failure to pay the application fee by the deadline specified in Article 4, Paragraph 1.

If the hotel cancels your reservation as described above, any deposit already received will be refunded.

Article 7 Registration upon arrival

Guests must register the following information at the hotel's front desk on the day of their stay.

  • (1)

    Matters specified in Article 3, Paragraph 1.

  • (2)

    For foreign guests, passport number, port of entry into Japan, and date of entry.

  • (3)

    Departure date and time.

  • (4)

    Any other matters deemed necessary by the hotel.

Article 8 Business Hours

The operating hours for hotel facilities are as specified in the attached document. (Please refer to the in-room service directory.)

Article 9 Payment of Fees

Accommodation fees are payable at the front desk upon check-in in any currency accepted by the hotel, traveler's checks, or vouchers. Checks are not accepted.

Even if a guest chooses not to stay at the hotel after using the room, they will still be charged for the accommodation.

Article 10 Compliance with the rules for use of the building

Guests are required to abide by the rules and regulations posted within the hotel.

Article 11 Refusal of continued stay

The hotel may refuse to allow continued stays during the reservation period in the following cases:

  • (1)

    If the guest falls under any of the categories in Article 2, paragraphs 3 through 7.

  • (2)

    Failure to comply with the usage rules set forth in the preceding article.

Article 12 Hotel Responsibilities

The hotel's responsibility regarding a guest's stay begins when the guest registers at the front desk or enters their room, whichever comes first, and ends when the guest vacates the room.

If we are unable to provide accommodation due to reasons attributable to our hotel (excluding natural disasters or other unavoidable circumstances), we will arrange alternative accommodation under the same or similar conditions, and will not charge accommodation fees for the days on which we were unable to provide a room.

Cancellation fee

  • - If you cancel 3 days before the arrival date: 20% of the first night's accommodation fee per person.
  • - If you cancel two days before the arrival date: 30% of the first night's accommodation fee per person.
  • - If you cancel the day before your stay: 80% of the first night's accommodation fee per person.
  • - If you cancel on the day of your stay: 100% of the first night's accommodation fee per person.

If a guest does not appear by 9 p.m. (or two hours after the designated arrival time), the hotel may consider the reservation to have been canceled by the applicant.

If you can prove that the reason the guest was unable to arrive was due to circumstances beyond their control, such as delays or cancellations of public transportation, you will not be charged a cancellation fee.

Article 13 Applicable Language

These Terms and Conditions are written in both Japanese and English. In the event of any discrepancy or difference between the two versions, the Japanese version shall prevail.

Supporting Member for the Elimination of Violence

Fukuoka Toei Hotel is a supporting member of the anti-violence movement.

At Fukuoka Toei Hotel, we prioritize the safety and comfort of our guests by excluding organized crime groups and other anti-social forces and preventing their harm. Therefore, we strictly prohibit the use or entry of anti-social forces into our hotel, and we will firmly refuse any illegal or unreasonable demands. We strive to create a comfortable and wholesome hotel environment that you can use with peace of mind.

Basic policy on customer harassment

Toei Hotel Chain Co., Ltd. aims to provide safe and comfortable services that cater to our guests' needs and allow them to truly relax.
While it is our hotel's mission to sincerely consider the valuable opinions and requests we receive from our customers and use them to improve our services, we cannot overlook demands that exceed what is considered reasonable according to social norms, or words and actions that harm the dignity of our employees (customer harassment).
Ensuring that our employees are healthy both physically and mentally and can work with pride is the foundation for continuing to provide high-quality hospitality to all our customers.
In order to maintain healthy relationships with our customers and business partners and to ensure the safety of our employees, we have established the following "Basic Policy on Customer Harassment."

Definition of customer harassment

The definition primarily targets "customer complaints and behaviors that, in light of the validity of the content of the demands in the complaint or behavior, involve means and methods that are socially unacceptable in fulfilling those demands, and that harm the working environment of employees as a result of those means and methods," as described in the "Customer Harassment Response Corporate Manual" published by the Ministry of Health, Labour and Welfare.

The actions in question

This will be in accordance with the "Customer Harassment Prevention Manual for Companies" published by the Ministry of Health, Labour and Welfare.
Please note that the scope of this measure is not limited to the following actions only.

  • Examples of cases where "the content of the customer's request is unreasonable"

    • - If no defects or negligence are found in the products or services provided by our hotel group.
    • - If the content of the request is unrelated to the products and services of our hotel group.
  • Examples of "means or methods of achieving a demand that are socially unacceptable" (those that are highly likely to be considered unacceptable regardless of the validity of the demand itself)

    • - Physical attacks (assault, battery)
    • - Psychological attacks (threats, slander, libel, insult, abusive language)
    • - Intimidating words and actions
    • - Demand for a dogeza (bowing in apology)
    • - Persistent and persistent words and actions
    • - Restraining behavior (refusal to leave, loitering, imprisonment)
    • Discriminatory remarks and actions
    • Sexual behavior
    • - Attacks and demands against individual employees

    (Some requests may be deemed inappropriate in light of their validity.)

    • - Request for product exchange
    • - Demand for monetary compensation
    • - Demand for an apology
  • Other disruptive behaviors

    • - Defamation on social media and the internet
    • Repeated phone calls and emails

Responding to customer harassment

If any customer harassment is discovered, we will take all possible measures to resolve the matter in a reasonable manner. However, if we determine that the means or manner of the harassment are clearly malicious, we may refuse to provide accommodation or services in order to protect our employees. This measure is based on Article 5, Paragraph 1, Item 3 of the Hotel Business Act and Article 5-6 of the Enforcement Regulations of the Hotel Business Act. Furthermore, we will take strict action, including consulting with or reporting to external organizations such as the police, as necessary.

A request to our customers

Toei Hotel Chain Co., Ltd. will continue to strive to build better relationships with our customers by staying close to them. However, in the unlikely event that any conduct constituting customer harassment is confirmed, we will take strict action in accordance with this basic policy. We kindly ask for your understanding and cooperation.
